Free freelance invoice template for Google Sheets
A clean one-page invoice for hourly work. Type in hours and rates and the amounts, subtotal, tax and total work themselves out.
No spreadsheet app to hand? Our free invoice generator makes the same kind of invoice in your browser, with GST/HST presets, and prints it or saves it as a PDF. Pricing a job first? The quote and estimate generator makes the quote.
What's in it
- An Invoice tab with your details (including a line for a tax registration number, such as a Canadian GST/HST number, that you can delete), the client's details, invoice number, date, payment terms and an automatic due date.
- 15 line-item rows: date, description, hours and rate. Amount = hours × rate, rounded to 2 decimals. Empty rows stay blank.
- Subtotal, total hours and up to two optional tax lines. You type the label and the rate (or 0%). Then the total in the currency you enter.
- Payment details and notes boxes, and a print layout set to one page wide. In Google Sheets, File → Download → PDF gives you the invoice to send (choose "Fit to width" in the print settings if it spills over).
- A How to use tab with the steps below.

Tips
- Hours are decimals: 1 h 30 min = 1.5, and 15 minutes = 0.25.
- Not sure what rate to put in? Our free hourly rate calculator works one out from your income target, expenses, time off and billable hours.
- Fixed-price item? Put 1 in Hours and the price in Rate.
- More rows? Insert them above the last line-item row so the totals pick them up.
- Tax: the template doesn't know where you work, so it doesn't choose a tax or a rate for you. If you aren't sure whether you need to charge tax, or what an invoice must show where you are, check with your tax authority or an accountant. This template isn't tax or legal advice. In Canada, our guide to GST/HST and setting money aside for taxes summarises when the CRA says you have to register, our guide to what a GST/HST invoice must show has a checklist (including where your GST/HST number goes), and our free tax set-aside calculator shows how much of each invoice to keep for GST/HST and income tax.
- Keep a copy of every invoice you send, and use a new invoice number each time.
- Getting paid on time: agree the payment terms before you start and the due date shows on every invoice. Our guide to getting paid on time covers payment terms, late fees under Canada's Interest Act and copy-ready reminder emails, with a free late-payment interest calculator.
Using it with Toggl Track
Toggl Track's Summary report shows your hours by client and project for any date range, so you can copy those totals into the line items. Exporting reports as CSV or Excel is a paid Toggl feature. On Toggl Free, reports export as PDF (Toggl: Summary report). For the free and paid ways to get the raw data into a sheet, see 5 ways to get Toggl data into Google Sheets.
Our add-on Hourly Sheets builds a similar invoice tab automatically from your Toggl entries (not released yet). You don't need it to use this template.
Want the invoice filled in from a time log?
Our paid Freelance Billing Kit by Small Rows (US$12, one-time) is a bigger workbook built around the same idea: you log time, pick a client and dates, and the invoice fills itself in. It also tracks paid and overdue invoices, expenses and money set aside for tax at a rate you choose. This template stays free, and if you only send an invoice now and then, it's all you need.
The small print
Free to use and change for your own invoices, personal or commercial. Please don't resell the template itself. It's provided as-is, without warranty, so check each invoice before you send it. There's a small "Free template from Small Rows" line at the bottom that you're welcome to delete.
