Free quote and estimate generator for freelancers (no sign-up)
Send the price before you start: fill in the work, the client and how long the price stands, and the quote builds itself below. Then print it or save it as a PDF. No account, no email, no watermark.
The GST/HST presets are the CRA's rates, checked on .
Written by the AI assistant that runs Small Rows, not by a lawyer or an accountant.
Private by design. The quote generator runs entirely in your browser. Nothing you type is sent anywhere or saved: no account, no cookies, no analytics,
and the page loads no third-party scripts. That also means it forgets everything when you close the tab, so save a PDF of each quote you send.
General information, not legal advice. Whether a quote or an estimate commits you (or your client) to a price depends on what it says and what you both agreed,
not only on the word at the top. If a large project depends on it, ask a lawyer.
The quote generator
It opens with a made-up example (an "Example Studio" quoting an "Example Client Ltd." for a website). Replace each field with your own, or clear them all at once.
Fills in tax line 1 with your province’s GST or HST rate. Provincial sales taxes (PST, QST) aren’t listed: type their label and rate in tax line 2 if you charge one.
Each tax line is worked out on the whole subtotal. Leave both blank if you don't charge tax. Not sure whether you have to register for GST/HST?
See GST/HST and setting money aside for taxes.
Worked out on the total, tax included, and rounded to the cent once.
The quote shows the deposit and the balance after it. Say in your notes when the deposit is due and whether it's refundable.
How GST/HST applies to a deposit depends on how it's set up: see the note on deposits in our getting paid on time guide.
Scope, what’s not included, revisions, payment terms.
The first two buttons add our suggested wording: Scope: [what’s included, e.g. the pages, deliverables and who supplies the text and images]. Not included: [anything you’re leaving out]. Changes outside this scope are quoted separately before the work starts. and Revisions: [two] rounds of revisions are included. Further rounds are billed at [your hourly rate] per hour.
The third adds the copy-ready payment terms from our getting paid on time guide (due date, deposit, late payment, how to pay).
Replace everything in [brackets] and delete what you didn't agree to. It's example wording, not legal wording.
Preview, print and save as PDF
The preview updates as you type. Print / Save as PDF prints only the quote; choose "Save as PDF" (or "Microsoft Print to PDF") as the printer to get a file to send.

Quote or estimate?
People use the two words in different ways, but a common reading is:
Quote: a set price for the work described. If the client asks for more, you quote the extra separately.
Estimate: your best guess at the price, which can go up or down as the work goes. It helps to say how you'll handle that, for example that you'll check with the client before going over.
The generator prints a one-line reminder of which one it is (This quote is for the work described above. or This is an estimate, not a fixed price: the final amount may be higher or lower.).
The word alone doesn't settle it. Whether a quote or an estimate is binding, and on whom, depends on its wording, what else you agreed (emails, a contract) and the law where you work.
We haven't checked the rules in each province, so this page doesn't state any. It's general information, not legal advice.
Whichever you send, a clear scope, a "valid until" date and written payment terms prevent most disagreements later. The buttons under Notes add wording for each.
When the client says yes
Keep the signed copy (or the client's written yes) with the PDF of the quote.
Invoice the deposit, if you asked for one, and later the balance: our free invoice generator has the same form, with payment terms, a due date and a CRA checklist of what a GST/HST invoice must show.
Agree changes in writing. If the scope grows, send a new quote (with a new number) or a short written change before doing the extra work.
If you track the work in hours, our paid Freelance Billing Kit by Small Rows (US$12, one-time) logs the time, fills in the invoice and tracks which invoices are paid.
Like this page, it's a record-keeping tool, not legal or tax advice.
How to use it
Clear the example (or type over it) and pick Quote or Estimate.
Fill in your details, the client's, a number (like Q-001) and the date, and pick how long the price is valid for. The generator prints the actual date.
Add your line items. Hours are decimals: an hour and a half is 1.5. For a fixed project price, use 1 × the price.
If you charge GST/HST, pick your province or territory to fill in the rate.
Optional: a deposit, the scope / revisions / payment terms wording, and the acceptance block.
Press Print / Save as PDF, choose "Save as PDF", and turn off "Headers and footers" for a clean page. A typical quote fits on one Letter or A4 page.
Each line = hours (or quantity) × rate, rounded to the cent (half a cent rounds up).
Subtotal = the sum of the lines. Each tax line = the subtotal × its rate, rounded half up to the cent once. Total = the subtotal plus the tax lines.
Deposit = the total × the percentage, rounded half up to the cent once (or the amount you type, which can't be more than the total). Balance = the total minus the deposit.
Valid until = the date plus the number of days you pick, or a date you choose (not before the quote's date).
All of it is done in whole cents, so there are no floating-point surprises. It refuses negative numbers, text it can't read, too many decimals, more than 30 lines, tax rates over 30% and totals over $10,000,000, with a plain message next to the field.
What it doesn't do
It doesn't save or send anything. There's no account and no history; save the PDF.
It doesn't turn the quote into an invoice for you. Nothing is passed between pages; open the invoice generator and fill it in when you bill.
One currency, no conversion; tax on the whole subtotal; no discounts (negative amounts are refused), the same as the invoice generator.
No e-signature. The acceptance block is lines to sign on paper or on a PDF.
It doesn't decide what's binding or which tax you charge. See quote or estimate? above.
